The context
What ai & automation actually involves
Most automation opportunities are mundane and valuable: copying form submissions into a CRM, routing leads by territory, drafting first responses, summarising long enquiry threads, generating recurring reports. None of that requires a transformation programme — it requires a careful workflow design and the right integration points.
We start by mapping how work actually moves through your business, then automate the steps with a clear input, output and failure path. AI is used where it handles variability well, such as classification, drafting and summarisation, and conventional logic is used where reliability matters more.

Problems this solves
Leads arrive but get handled inconsistently
Enquiries land in a shared inbox where response time depends on who notices first. Automated routing, acknowledgement and follow-up tasks remove the variability.
Staff time consumed by copy-and-paste work
Moving data between the website, spreadsheets, CRM, invoicing and email adds up to days per month and invites transcription errors.
Support volume outgrowing the team
The same twenty questions arrive repeatedly. A knowledge-grounded assistant or a well-designed FAQ and triage flow can absorb a large share of first-contact volume.
Reporting assembled manually each month
Data is exported from several platforms and rebuilt by hand. Scheduled aggregation produces the report consistently and frees the time for interpretation.
What you get
Deliverables, defined in advance
- Workflow discovery: process maps, volume estimates and a prioritised opportunity list
- Automation design with defined triggers, actions, data fields and failure handling
- Integration build between the tools you already use, via native connectors or APIs
- Lead qualification and routing workflows, including scoring rules where appropriate
- AI-assisted drafting, summarisation or classification steps with human review points
- Chatbot or assistant integration trained on approved content, with escalation to a human
- Data mapping, validation and logging so failures are visible
- Testing with realistic sample data and documented edge cases
- Documentation, ownership and a rollback procedure for each workflow
Why it matters
Business benefits
Faster response, no extra headcount
Enquiries are acknowledged and routed automatically, so speed-to-lead stops depending on someone watching an inbox.
Consistency where it matters
Every lead gets the same qualification steps, every support question the same approved answer, every report the same fields.
A foundation you can extend
Each workflow is documented and owned by you, so the next process can be automated without rebuilding the first one.
Process
How the engagement runs
- Step 1
Map the process
We document the current workflow, volumes, exceptions and the systems involved, then identify where automation genuinely reduces effort rather than relocating it.
- Step 2
Check feasibility
We confirm what the existing tools and APIs support, what data is available, who can grant access and what security requirements apply. Not every idea survives this step, and we say so early.
- Step 3
Build and test
The workflow is implemented on a test path with realistic data, including failure cases such as missing fields, duplicate submissions and API errors.
- Step 4
Launch and monitor
We deploy, document, and monitor the first weeks in production. Human review stays in place wherever the cost of an error is high.
Where AI helps — and where it does not
AI performs well on tasks with tolerance for variation and a human check: drafting a reply, classifying an enquiry as sales or support, extracting details from a long message, summarising a call note, or suggesting a next action. It is a poor fit for anything requiring guaranteed exactness — final pricing, legal statements, medical guidance or irreversible actions like issuing refunds.
A realistic design places AI inside a workflow with guardrails: approved source content, bounded outputs, confidence thresholds, a review step for low-confidence cases, and a clear escalation path. That is more work than a demo and considerably more reliable in operation.
Feasibility depends on your systems
Automation is only as capable as the integration surface. Some tools offer clean APIs and webhooks; others offer CSV exports and nothing else; legacy systems may require a middleware layer or manual approval gate. Data quality matters too — inconsistent field formats break automations that work perfectly in testing.
Before quoting implementation we confirm access, API limits, data structure, authentication model and any security review your organisation requires. If a requirement cannot be met with the available systems, our recommendation will be the process change or system change needed first.
Privacy and governance
Automations that touch customer data need deliberate handling: data minimisation, retention rules, access control, audit logs, and processor agreements with any AI provider involved. Where a workflow would send personal or sensitive data to a third-party model, we flag it and propose an alternative if your requirements do not permit it.
What we do not promise
- Feasibility depends on your existing systems, data quality, available APIs and security requirements. We confirm those before committing to a build.
- We do not guarantee a specific time saving; estimates are based on observed volumes and are reviewed after the first weeks in production.
- AI outputs are not guaranteed to be accurate. High-impact decisions stay with a human reviewer in every workflow we design.
- Third-party AI, CRM and automation platform subscription costs are separate from our implementation fee.
How pricing works
Discovery and feasibility assessment first, then fixed-fee implementation per workflow. Support is available monthly.
Advertising spend, platform subscriptions and third-party licences are paid by you directly and are always shown separately from our fee.

AI & Automation FAQ
Often yes, at a modest scale: automatically acknowledging and routing website enquiries, keeping the CRM in sync with forms, and generating a weekly summary. Those are usually cheaper than the time they save, and they do not require replacing your existing tools.
Rarely. We prefer to integrate what already works. Replacement is recommended only when a platform has no usable integration path or actively blocks the workflow you need.
We apply least-privilege access, scoped API credentials, data minimisation and logging, and we document where data is stored and how long it is kept. Any workflow involving personal data is reviewed against your stated requirements before build.
